Events¶
Event and Invitations¶
Events are created by group admins or facilitators. In most cases events are created from event templates. You can see evidence of that in the Template filter on the Events. You can always see any events you have been invited to and if you have RSVPed in Me/RSVP. No need to search through your emails.
Event Templates¶
Most events are created from an Event Template. This is a blueprint for creating events. Events are then created by selecting a Template which copies information from the template to the Event. The the Event can be further edited as needed. The Template filter on the Events list allows you to see events that have come from each template.
Many of our Calendar items are created by using the "Create Series" in the Template. Activities like Walking, Yoga etc. that just need to be on the calendar and are on a fixed schedule get created from the template. Admins and facilitators manage event and templates but we wanted to show bit on how they are created.
Event Types¶
All events have a type. The type is used to determine how an event is processed and what information is required of the member responding to an event. Types are used for filters and selections. The types are:
Calendar¶
Just puts it on the calendar. No notification. Created in bulk in the template.
Notify¶
Notifies members in its group. No response required. TGIF is an example
RSVP¶
Once a facilitator, adds an event for a group you belong to, you will see it in your Me/RSVP. You can RSVP to it there or by clicking the RSVP button on the invitation. Either way, you need to check the box by the event and click Save Changes to RSVP. This is true for all the other RSVP types below even though their details are different.
RSVP Choices¶
Invitations for these events will ask you to select a choice of RSVP. For example, when an event is at a location outside Glenhaven, some can drive and others need rides. The members chose the response and they are listed on the event RSVP by their choice. The event chat can be used for getting those needing rides with drivers. This type also allows including a "Can't make it" response when the event wants all to RSVP even if they can't make it. Bunco is a good example.
RSVP Items¶
Thee are "Pot Luck" type events where items to bring are requested. When you RSVP, you'll be able to see the items requested and indicate which item you will contribute. The status of who is coming and what they are bringing can be seen on the event RSVP column in Events.
RSVP Capacity¶
These events have a capacity limit. When you RSVP, it is time stamped and the Reserved list fills in that order. When capacity is reached, a Wait List is created by timestamp. If before the event, a member that was reserved can't make it and unchecks their RSVP, the next member on the Wait List will be moved to Reserved and notified via email.
Event Invitations¶
All events other than Calendar, will have notification to members in the event group. These email invites will come from the site with one of these sender names: - Glenhaven Notice - If the event type is Notify - Glenhaven RSVP - If the event type is any RSVP Reminders for RSVP events will have Reminder in the subject but keep the sender as Glenhaven RSVP remind you of the event and also to RSVP if you have not already.
